Creating New Banner-Access Databases

  1. Open the Banner folder.
  2. Click on the Access icon for the database you wish to access. In this case, we will choose MS Access (Development).
  3. When Access starts, select Blank Database.
  4. Click OK.
  5.  
  6. Key the name for your database in the File Name field. In this example, we are creating a database to use as part of a phonathon.
  7. Since this is tied to the Banner database you selected above, it's a good idea to include the Banner database in the name of your database (in this case, it is (Development). 
  8. Click Create.
  9. Click New to establish the links.
  10. Select Link Table then click OK.
  11. Select ODBC databases in the Files of Type field at the bottom (you'll have to scroll down to see it).
  12. Click the Machine Data Source tab. Select the "short name" of the database to be used (e.g. DEVL for Development) and click OK.
  13. Enter your Banner User Name and Password, then click OK.
  14. At this point a list of all the Banner Tables you have access to will appear.  The format for these names is owner.table where owner is the username that "owns" a given table.  In the database view of MS Access this information will be displayed as owner_table (in other words, here the separator is a period, later it is an underscore). Owners for the primary systems are:

    Accounts ReceivableTAISMGR 
    AlumniALUMNI 
    Financial AidFAISMGR 
    FinanceFIMSMGR 
    GeneralGENERALJob submission, population selections
    PayrollPAYROLL 
    Position ControlPOSNCTL 
    StudentSATURNName, address and telephone

  15. Click on the tables to be linked to the database (Select All is not recommended). In the example shown, SATURN_SPRIDEN, SATURN_SPRADDR and SATURN_SPRTELE have been selected.
  16. Click OK. To add tables later, open the database, select the Tables tab, and click New.
  17. The tables you have selected are available for any queries or reports you need, but updates to Banner data are not allowed here.
