Lab Reservation Policy

Purpose: With the proliferation of portable and mobile computing, the full implementation of mandatory student laptop ownership, and changing space needs of the University, access to public computer labs is limited and must be managed judiciously. Public computer labs are designed primarily to meet the computing needs of students in which the course requires specific software that can’t be accommodated using the student’s laptop. ITAC recommended and OIT developed this policy and procedure to ensure equitable access to instructional computer learning labs and to maximize lab availability to best meet the overall instructional need.

Wherever possible, faculty should take advantage of the mandatory student laptop program instead of reserving labs to use as classrooms. Departments wishing to schedule a time for individual courses must complete an electronic form found at http://www.indstate.edu/oitlabs/reservations/reservelab.html.

Instructional use requiring specialized software has priority over all other public computer lab use. Use by regular credit courses has priority over other instructional uses, such as non-credit courses and workshops.

Reservations for weekly use during a semester, summer term, or short course must be received at least a month prior to the start of the course or term. These weekly sessions will normally be reserved for one hour, and will not exceed two hours or the length of one normal class period without special advanced permission. Weekly reservations will be scheduled on a first-come, first-serve basis.

Public computer labs reserved for general open class use - an instructor or an assistant must be present in the lab during the reserved time. In absence of an instructor or assistant, the reservation will be canceled and the lab will be open to walk-in lab users.

If it is necessary to cancel a lab reservation, OIT should be notified as early as possible. Sessions that are not held at the times reserved without notification waste resources and preclude use by others. If a lab is reserved and not used on two consecutive occasions without notification, subsequent reservations will be cancelled and the instructor and the department chair will be notified to make other arrangements or to reschedule.
